Below is a list of frequently asked questions related to the 2012 MHS Conference. If you have any additional questions, please send them to: MHS2012info@experient-inc.com.

Is the conference open to the public?

Registration for the 2012 MHS Conference opened in late October and is available to approved personnel only; registration is not open to the general public. A designated MTF/Service/Organization POC will manage the registration allocation for your organization.

If you are not currently affiliated with a MTF or DOD entity, but would like to learn more about conference registration, please email your request to MHS2012info@experient-inc.com with "Registration" in the subject line. Please allow 24 hours for a response to your inquiry.

How do I register for the conference?

Registration for the 2012 MHS Conference has now closed. If you received a valid quota code but were unable to register, you will be able to register onsite at the conference. Please remember to bring your quota code with you.

How do I reserve a hotel room?

The MHS Conference block at the Gaylord National is sold out.
A small block of rooms for conference attendees is available at the Aloft Hotel (four blocks from the Gaylord National). Visit  Aloft Hotel.
For other hotels in the National Harbor area visit local list for 2012 MHS conference.
To cancel or change your reservation, please call 301-965-4000.

How do I become an exhibitor or sponsor at the conference?

Can Media register to attend the conference?

Members of the media interested in attending the conference can pre-register by emailing MHS2012info@experient-inc.com with "Media" in the subject line. For those pre-registered and/or planning to register onsite, you will need to check in at the Media Center which is located in Azalea 3, where an MHS representative will give you your credentials. Members of the external media will be identified by a "MEDIA" badge.

Once registered, Media will be granted full access to the conference, including, but not limited to; plenary sessions, breakout sessions, poster presentations, and the exhibit hall.

Where can members of the Media schedule an interview?

If interested in requesting an interview, members of the media will need to check in at the Media Center located in Azalea 3.

When will the exhibit hall be open?

Tuesday, January 31, 2012
9:30 a.m. – 12:00 Noon
2:00 p.m. – 6:30 p.m.
5:00 p.m. – 6:30 p.m. (Exhibit Hall Reception – all attendees welcome)

Wednesday, February 1, 2012

Will there be poster exhibits at the conference?

Yes. The MHS poster exhibits display the exciting work being done across the MHS. The posters will be displayed digitally this year, throughout the conference area.

Are Continuing Education Credits offered at the conference?

Yes. The Postgraduate Institute for Medicine (PIM) will be facilitating accreditation efforts for the conference this year. For more information, see the CEU Information section on the left.

Will a shuttle service be provided from the Metro to the Gaylord National?

Shuttles will not be provided at this year’s conference. Should you need transportation from Branch Avenue station (on the Green Line towards Maryland), please take the NH1 – National Harbor Bus line.

Where can I park at the conference?

The Gaylord National

  • $5.00 for first hour
  • $12.00 for 0-3 hours self parking
  • $21.00 per day self parking/overnight
  • $18.00 for 0-3 hours valet parking
  • $30.00 per day valet parking/overnight

St. George Garage (located at St. George Boulevard and Waterman Passage – across from The Gaylord main lobby entrance)

  • $3.00 for first hour
  • $5.00 for 1-2 hours
  • $7.00 for 2-3 hours
  • $9.00 for 3-4 hours
  • $11.00 for 4-24 hours

Will meals be served at the conference?

Coffee/beverage breaks will be served each day of the conference. The schedule allows time for a lunch break; however lunch is on your own. There are many restaurant options within the Gaylord National as well as within walking distance from the hotel. Visit the National Harbor's Dining webpage for a complete list of restaurant options and hours of operation.

What is the Exhibit Hall Reception?

The exhibitors of this year’s conference will be hosting a reception in the Exhibit Hall on Tuesday evening from 5 to 6:30 pm. All conference attendees are invited to attend. Light refreshments will be served.

What is the prevailing government per diem rate?

The 2012 government per diem rate for the conference location is $254.00 ($183.00 lodging, $71.00 M&IE). For more information regarding per diem rates please visit the GSA website.

To find out whether or not you are eligible for reimbursement, please contact your direct supervisor as the process for reimbursement differs between each organization.

What is the uniform/dress of the day?

  • Army: Army Service Uniform: Class A on Tuesday/Opening Day and Class B for all other days/events**
  • Navy: Service Dress Blues on Tuesday/Opening Day and Service Khaki for all other days/events**
  • Air Force: Class A/Service Dress uniform throughout
  • Coast Guard: Tropical Blue Long uniform throughout
  • Civilian: Business attire throughout

Please note that Monday is a pre-conference day. Class B’s for Army and Service Khaki for Navy is the uniform of the day.
